During a campus closure, Classified employees required to work on campus (or other university locations) must enter Essential Time in addition to worked time to earn 1.5X pay for hours worked.  To earn 2.5X pay for hours worked, the employee must use Closure Leave (using the Closure Leave with Essential Time pay code) in addition to entering Essential Time and worked hours.

Below are several scenarios and how to enter the time for the day to earn the appropriate pay - the scenarios assume a 1.0 FTE that works 8 hours per day; please enter the appropriate number of hours for your FTE/worked time for the day:

 

Scenario 1: Worked full day, does not want to use Closure Leave for additional pay:

- Enter 8 hours of worked time, either using the clock or using the Work In/Out or Regular Hours pay code.

- Enter 8 hours using the Essential Time pay code.  Supervisor will need to approve Essential Time.

Pay will be 1.5X regular rate for hours worked.  Once the Essential Time is approve, the employee will see Clock/Worked hours at their regular rate and Essential Time at half their regular rate on the Results tab for a total of 1.5X the regular rate for all hours worked.

 

Scenario 2: Worked full day, does want to use Closure Leave for additional pay:

- Enter 8 hours of worked time, either using the clock or using the Work In/Out or Regular Hours pay code.

- Enter 8 hours using the Essential Time pay code.  Supervisor will need to approve Essential Time.

- Enter 8 hours using the Closure Leave with Essential Time pay code.

Pay will be 2.5X regular rate for hours worked.  Once the Essential Time is approve, the employee will see Clock/Worked hours at their regular rate and Essential Pay at 1.5X their regular rate on the Results tab for a total of 2.5X the regular rate for all hours worked.

Note: Closure Leave with Essential Time will deduct hours from the Closure Leave bank.

 

Scenario 3: Worked partial day (e.g., 4 hours), does not want to use Closure Leave for additional pay, does want to use Closure Leave for hours not worked:

- Enter 4 hours of worked time, either using the clock or using the Work In/Out or Regular Hours pay code.

- Enter 4 hours using the Essential Time pay code.  Supervisor will need to approve Essential Time.

- Enter 4 hours using the Closure Leave pay code.

Pay will be 1.5X regular rate for hours worked.  Once the Essential Time is approve, the employee will see Clock/Worked hours at their regular rate and Essential Time at half their regular rate on the Results tab for a total of 1.5X the regular rate for all hours worked.  Closure Leave will also display at the employee's regular rate of pay.

 

Scenario 4: Worked partial day (e.g., 4 hours) day, does want to use Closure Leave for additional pay and for hours not worked:

- Enter 4 hours of worked time, either using the clock or using the Work In/Out or Regular Hours pay code.

- Enter 4 hours using the Essential Time pay code.  Supervisor will need to approve Essential Time.

- Enter 4 hours using the Closure Leave with Essential Time pay code.

- Enter 4 hours using the Closure Leave pay code.

Pay will be 2.5X regular rate for hours worked.  Once the Essential Time is approve, the employee will see Clock/Worked hours at their regular rate and Essential Pay at 1.5X their regular rate on the Results tab for a total of 2.5X the regular rate for all hours worked.  Closure Leave will also display at the employee's regular rate.

Scenario 5: Did not work, using Closure Leave for the day:

- Enter 8 hours using the Closure Leave pay code.

Employee will be paid at their regular rate of pay for the day.
