How you record your time in EmpCenter depends on your policy profile and if the university is open or closed.  For the HR policy specific to inclement weather - including details about the types of leave you can use for inclement weather - see the Closures or Curtailment of Operations policy page and the Time Reporting Matrix.

If the University is OPEN, and you work:

For all policy profiles, record your time as usual. 

If the University is OPEN and you do not work:

For all policy profiles, you must use accrued leave for the day.  Closure leave is not an appropriate leave type in this example.

If the University is OPEN and you work a portion the day:

For classified employees, you must use accrued leave for all absence hours.  See the appropriate FAQ for your policy profile for instructions on entering time on your timesheet: Classified Salaried Non-exempt, Classified Salaried Exempt, Classified Hourly.  Closure leave is not an appropriate leave type in this example.

For unclassified employees, see the time reporting matrix for more details.  If you need to record leave time, see the appropriate FAQ for your policy profile: Unclassified Exempt, Unclassified Non-exempt, Unclassified Hourly

If the University has a DELAYED OPENING:

For classified employees, you must use accrued leave for all absence hours.  Closure leave is appropriate in this example.  See the Closure Leave FAQ or, if closure leave is not available, see the appropriate FAQ for your policy profile for instructions on entering time on your timesheet: Classified Salaried Non-exempt, Classified Salaried Exempt, Classified Hourly.

If the University is CLOSED for the entire day:

You must use accrued leave for the full day if the closure occurs before you report to work.  For classified employees, closure leave is appropriate in this example.  See the Closure Leave FAQ or the appropriate FAQ for your policy profile for instructions on entering time on your timesheet if closure leave is not available:

Classified Hourly

Classified Salaried Exempt

Classified Salaried Non-exempt

Unclassified Non-exempt

Unclassified Hourly

Unclassified Exempt - see the HR Matrix to determine if leave is needed, if so see the Enter Time for Unclassified Exempt FAQ for instructions.

If the University is CLOSED after you start your shift:

For classified salaried non-exempt and classified hourly (clocking) employees, you will be paid for your full shift; use of leave is not required.  To properly record your hours, clock out as usual before you leave.  Next, go to your timesheet and select work in/out from the pay code drop down.  Enter the remainder of your scheduled work hours then enter a comment such as “snow day” or “weather closure”.  The example below is for an employee that normally works 8am-5pm, with a closure at noon.

For classified exempt employees, you will be paid for your full shift; use of leave is not required.  Enter your scheduled hours as usual.

For unclassified employees, you will be paid for your full shift.  You do not need to enter any time on your timesheet.

Note: if you leave during your regular shift before the university closes, you must use leave for the time between when you left and when the university officially closed.  For example, if the university closed at noon, but you left at 10am, you must use 2 hours of leave from 10am-12pm.  Closure leave is not an appropriate leave type in this example.

For all closure scenarios, employees with pre-approved leave for the day should not remove the leave or change the time to closure leave.
